PA – Edinburgh (Full-Time, Permanent)
Eden Scott is delighted to be supporting a leading organisation in the recruitment of a full-time PA to join their Office Services team in Edinburgh.
The successful candidate will deliver proactive, high-level PA support designed to remove administrative workload from the team. This includes full responsibility for client matter administration, workflow coordination, operational support and financial processes. You will anticipate requirements, prepare information in advance and ensure senior colleagues have everything they need to manage their workloads effectively.
Key duties include:
- Acting as the first point of contact for senior team members, managing inboxes, prioritising communications and drafting responses where appropriate
- Managing diaries, ensuring all meetings, deadlines and commitments are accurately recorded
- Preparing meeting packs and ensuring timely distribution
- Overseeing incoming and outgoing correspondence and ensuring accurate routing
- Maintaining accurate filing of documents, correspondence and compliance records
- Supporting matter opening and closing processes and liaising with internal teams to ensure compliance
- Arranging internal and external meetings, including room bookings, technology setup and hospitality
- Coordinating travel arrangements and associated logistics
- Assisting with business development and marketing activities, including event preparation and maintaining client contact records
- Providing cover and support to colleagues within the wider team during absence or peak workload
- Supporting financial processes including billing, fee letters, Cashroom activity and bank transfer requests
- Working closely with Finance to ensure accuracy and timely processing of all financial tasks
- Generating reports and drafting fee communications
- Assisting with compliance processes, including CMI and AML requirements
Person Specification
- Previous PA experience (experience within professional services advantageous but not essential)
- Strong organisational skills with the ability to manage and prioritise workload independently
- Confident communication skills and the ability to build effective working relationships
- Proficiency in Microsoft Office, with training provided on internal systems
- Excellent attention to detail and a high level of accuracy
- Strong interpersonal skills and a proactive, solutions-focused approach
- Ability to use initiative and exercise sound judgement when handling enquiries
- High level of discretion and confidentiality due to the sensitive nature of the work
